Jarrell Animal Hospital is a full-service, predominately small animal, veterinary hospital just north of Austin, Texas. We are currently completing a brand new, 5,500 sq. ft. facility across the street from our current practice. Our new location will allow us to expand our team, initiate and establish boarding and grooming services and continue to provide excellent care to our current clients, while also growing our following of loyal clientele.
The practice manager is responsible for supporting the overall business operations. The manager oversees the business of the operations in order to ensure the steady workflow of uninterrupted care and service. Business activities of the practice including: hiring and training support staff; working with the owner to prepare budgets, monitoring key performance indicators and setting fees; maintaining inventory and an inventory control system; managing the hospital software and equipment; implementing safety and security procedures. This is a leadership position with the additional responsibility of ensuring a positive work environment in which the practice achieves its goals.
Maintains the practice philosophy for attracting new clients and retaining existing clients.
Promotes a client-centered environment.
Initiates processes that meet client needs and efficiency of the hospital.
Facilitates resolution of client problems that doctors or other staff members cannot finalize.
Resolves financial problems with clients.
HR policies and protocol development.
Plans and organizes all personnel activities.
Develops and updates the employee handbook, written job descriptions, employee personnel files.
Schedules and coordinates regular performance reviews.
Hires and manages support staff and/or staff supervisors; schedules staff and doctors.
Sets and periodically reviews hospital flow and operations.
Provides phase training and continuing education for staff; establishes and maintains publications and veterinary library.
Resolves staff issues.
Tracks and maintains current licensure, CE and professional liability for all DVMs.
FINANCE AND ACCOUNTING:
Reviews key performance indicators and discusses them with the owners and doctors.
Sets goals for hospital performance based on previous performance and mission/vision; designs strategies for meeting these goals.
Supervises usage of practice software to ensure client records are entered consistently and correctly.
Monitors and reports on accounts payable and receivable and controls facility and administrative costs.
Establishes an inventory control system to assure adequate stocks of supplies and medications are available; plans for periodic audits; negotiates best prices.
Develops a schedule for hospital maintenance; contracts for and supervises all maintenance activities to ensure that practice medical standards are met.
Develops and implements hospital policy, including DEA/Controlled Substances and OSHA compliance.
Maintains a facility visually appealing to client and staff.
Designs and administers safety policies, protocols and training.
Initiates new programs and markets services through public relations campaigns.
Promotes marketing programs to increase client/patient visitation rate.
Maintains effective advertising for print ads and other appropriate venues.
Maintains up to date social media presence.
Community involvement, including participation in fundraising and charity events.
Communicates objectives, motivates staff, builds and maintains morale; maintains core values and standards.
Takes an active role in frequent staff meetings.
Promotes cooperative working environment among staff members; understands the value of teamwork; shows enthusiasm and willingness to perform as necessary to help the practice function as a unit.
Promotes continuous quality improvement.
EDUCATION AND LICENSURE REQUIREMENTS
Bachelor’s degree in business or related field.
Certified Veterinary Practice Manager designation is desirable but not required.
Work exposure to all aspects of a business enterprise, with demonstrated competence in budgeting and financial reporting and in staff management.
Minimum three years working in a veterinary practice or related field.
Must be able to work under the broad general administrative supervision of the owners and doctors, and to be able to use sound personal judgment in selecting methods, establishing priorities, and arriving at conclusions.
Must be able to tactfully demonstrate “take charge” capabilities.
May be required to work uncommon hours, overtime, and be subject to recall in emergency situations.
Excellent organizational skills including the ability multitask and prioritize.
Solid verbal and written communication skills.
Work almost constantly in the presence of other staff members and clients.
Additional Salary Information: Compensation based on experience + production bonuses based on practice earnings
